My contribution
- Coordinated consolidation of multiple disclosure and administrative forms into fewer guided experiences.
- Managed UDF remapping, routing simplification, messaging improvements, and progress indicator enhancements.
- Aligned testing and deployment with the RMS upgrade to reduce duplicate effort and change collisions.
Intended impact
Improves usability, reporting consistency, and regulatory readiness while reducing form complexity.
Overview
The project consolidates numerous COI forms into fewer, streamlined eForms, adds guided UX, updates messaging, and removes legacy eForms-lite to reduce clicks and administrative burden. Effort includes re-mapping questions to UDFs, adjusting workflow/routing, and UI updates for clarity and consistency.
In Scope
- Consolidate Annual Disclosure, Non-WU, Potential Conflict, and Transactional forms
- Guided UX updates (navigation, messages, progress indicators)
- UDF re-mapping, workflow and routing simplification
- Replace eForms-lite with modern InfoEd capabilities
Out of Scope
- Changing the fundamental COI review process
- Broad compliance policy overhauls
- System replacement beyond InfoEd COI module
Objectives
- Reduce total number of COI eForms and streamline workflows
- Improve usability with guided UX and clearer messaging
- Align forms with evolving regulations (OSTP/CHIPS/NSTM, MFTP)
- Lower maintenance by retiring eForms-lite and excessive customizations
From Charter + Requirements.
What’s Changing
- Five Annual Disclosure forms → three (1 faculty-facing + 2 admin)
- Potential Conflicts consolidated into one admin form (with COC fields)
- Research & Agreement Transactionals combined into a single form
- Routing paths merged (over-/under-threshold routes simplified)
Per Kickoff scope details.
Timeline
- • June 2025 - September 2025
Key Risks & Mitigations
- Upgrade dependency: coordinate with RMS to avoid duplicate testing; prepare contingencies if dates shift.
- Stakeholder availability: schedule user testing around academic calendars; use recorded demos/surveys.
- Vendor support & eForms-lite retirement: early feasibility checks; limit custom code.
